Administrative Assistant
Working closely with the CFOYou will become the key contact for ensuring the smooth administrative and financial operation of the organization. Your role will be to ensure that our administrative processes—which are already well-documented—are carried out properly, that our financial data is reliable, and that our obligations are always met.
You will take charge of the administrative and financial tasks assigned to you and carry them out independently, performing the necessary checks and procedures and involving the CFO when a decision or approval is required.
Responsibilities
Accounting and Finance
- Process, file, and post supplier invoices to the books
- Prepare accounts payable tracking reports and process the requested payments.
- Prepare customer invoices and follow up on payments.
- Follow up directly with suppliers and customers
- Perform bank, credit card, and balance sheet account reconciliations.
- Post the required month-end and year-end adjusting entries.
- Help prepare monthly financial reports and budget tracking.
- Assist in preparing the documents required for financial reporting.
Tax, Payroll, and Compliance
- Prepare payroll and follow up with our payroll service provider.
- Prepare GST/QST returns and the required payments.
- Follow up with the CNESST, Revenu Québec, and the CRA.
- Monitor group insurance plans, RRSPs, and employee administrative records.
- Ensure compliance with the organization’s various legal, tax, and administrative obligations.
Continuous Improvement
- Help develop new administrative and financial tools.
- Support the team with various administrative tasks.
- Ensure rigorous and structured document management so that files, contracts, and administrative and financial documents are properly organized, up to date, and easily accessible.
Job requirements
Training
- Accounting and Management Technician
- Bachelor of Business Administration
- Equivalent education or experience.
